A procurement manager in Harare asks a warehouse salesperson one question.
What exactly am I paying for?
The salesperson points at racking, forklifts and square metres.
The buyer nods politely, then goes to the cheaper warehouse.
A month later, stock cannot be found, picking errors are irritating customers and nobody can explain what happened to damaged cartons.
That is the problem with selling work people cannot see. Good logistics sales training teaches you to sell the operational result, not the building, the paperwork or the truck.
You are not selling space.
You are selling sleep.
Your Buyer Does Not Wake Up Thinking About Warehouse Space
A warehouse manager may be proud of 2,000 square metres. Fair enough. That is a serious facility.
But a buyer running a pharmacy distributor, a hardware chain or a manufacturer does not care about your floor area until they understand what it protects.
Their real questions are uglier:
● Will my stock be available when sales needs it?
● Will your team pick the correct item?
● Who calls me when a pallet is damaged?
● Can I see what came in, what went out and what is still missing?
● When there is a problem at the border, will somebody own it?
That is where the sale lives.
A logistics service is invisible until it fails. Then everybody can see it. The customer sees a missed delivery. Their customer sees an empty shelf. Finance sees a credit note. The managing director sees Money leaving the business.
Your job is to make the prevention visible before the failure happens.
The Harare Importer Who Needed Visibility, Not Storage
Take an illustrative Harare importer bringing components for a small manufacturing operation. A delayed inbound shipment can stop production, while excess stock can tie up cash that the business needs for wages and raw materials.
A weak salesperson says, We have warehouse space close to town.
A sharper salesperson asks how the buyer currently receives arrival updates, who confirms quantities at receiving, and how quickly discrepancies are escalated. Then they show the reporting rhythm: inbound confirmation, quantity check, exception report and a named person responsible for the next action.
The buyer is no longer comparing rent per square metre alone. They are comparing the cost of a stopped production line against the value of accurate inbound visibility.
That is a commercial conversation.
Do not tell them your warehouse is secure. Explain what happens when a seal is broken, a carton arrives short or stock is booked into the wrong location. Security is a claim. A documented response is proof.
Sell the Result in Plain Language
I see logistics teams lose good deals because they speak like operations people to commercial people.
They say cross-docking, inventory optimisation and freight forwarding coordination.
The buyer hears a meeting.
Say what changes in the buyer’s daily life instead.
| What you say now | What the buyer needs to hear | | We provide warehousing | Your team can see stock movement, investigate variances and pick orders with less confusion. | | We offer clearing services | We prepare and lodge the required customs documentation, update you on the customs status and escalate exceptions. | | We have a bonded warehouse | Where the facility is formally appointed by ZIMRA and your goods qualify, goods may be warehoused under bond without immediate customs-duty payment. | | We have good turnaround | We agree the steps, cut-off times, reports and the person who owns an exception. | Notice what changed.
The second column can be checked.
That matters because logistics buyers have heard big promises before. They have been told a consignment is almost cleared, only to discover that a permit is missing, duty has not been prepaid or the goods were selected for examination.
Calm down.
Do not promise what you do not control.
Clearing Is Not Paperwork. It Is Controlled Risk.
In Zimbabwe, customs clearing is not a man carrying files between desks. ZIMRA uses ASYCUDA World for customs processes. Declarations and supporting documents are lodged electronically.
That system can trigger document checks, queries or physical examination through ZIMRA’s risk-management process. So any salesperson promising guaranteed clearance within a fixed number of hours is selling trouble.
A credible clearing sales conversation sounds like this:
We will confirm the documents required before lodgement. We will lodge through ASYCUDA World. We will update you at agreed stages. If ZIMRA raises a query or selects the shipment for examination, we will tell you what is needed, who owns the response and what it means for the delivery plan.
That is not less persuasive.
It is more persuasive because it is real.
The Mining Buyer Who Did Not Need Another Fast-Clearance Promise
Take an illustrative mining buyer waiting for a specialised replacement part. The part is valuable, the equipment is standing and every person in the chain is under pressure.
Three clearing firms say they clear fast. One asks for the commercial invoice, packing list, permits that may apply, tariff information, the duty-payment position and the delivery deadline. They also explain that ASYCUDA risk selection and a possible physical examination can affect timing.
The first three firms sold confidence. The fourth firm sold control.
If I were the buyer, I would want the fourth firm. Not because it promised magic, but because it showed it understood where the file can break.
The sale is not clearance speed alone. It is document readiness, status updates, escalation and accountability.
Check Your Right to Sell Clearing
This part is not optional.
A clearing agent must be a ZIMRA-licensed company or partnership. If your business is selling clearing services, confirm your current licence before your salesperson starts making claims in the market.
ZIMRA states that a clearing-agent licence expires on 31 December in the year it is issued. Renewal applications should be submitted electronically by 31 October, using Form 64 through ASYCUDA. Those are operational dates your leadership team must track, not dates to discover after a customer asks awkward questions.
As of October 2026, do not rely on an old extension notice as your annual plan. ZIMRA extended the 2025 renewal period to 30 November 2024 because of Clearing Agent Module deployment issues. That was a specific exception, not a standing deadline.
Your sales team cannot sell credibility that operations has failed to maintain.
Build Proof Before You Hunt for Big Accounts
A logistics proposal should not read like a brochure from another country. Your buyer is in Zimbabwe. They want to know how you will handle their stock, their money and their pressure.
Build a proof pack around what you can actually deliver:
● Stock-receiving checks and stock-accuracy reporting.
● Order cut-off times and order-turnaround reporting.
● Picking-error controls and damage reporting.
● Customs status updates and exception escalation.
● Named accountability when something goes wrong.
Do not invent performance figures to look impressive. If you do not yet track picking errors or inbound discrepancies, start tracking them. You cannot Sell proof you have never measured.
For a Bulawayo distributor, a useful proof point may be a daily picking check before dispatch and an escalation call when a shortage appears. For a Harare importer, it may be a clear inbound report that shows expected arrival, documentation status and next action.
Different buyer. Different pain.
Same discipline.
The Bulawayo Distributor Losing Money One Wrong Pick at a Time
Take an illustrative Bulawayo distributor with twelve staff, a growing catalogue and monthly payroll of about US$40,000. A picker sends the wrong fittings to a customer. The truck returns, the customer complains and sales spends half a day cleaning up a problem that began in the warehouse.
The distributor does not need a salesperson saying, We have modern storage. They need a process that separates similar stock, checks the pick before dispatch and records the error when it happens.
The cost is not just the return trip. It is the lost time, the emergency delivery and the customer wondering whether they should buy from somebody else.
If the warehouse provider can show how errors are prevented, reported and corrected, the provider has moved from being a landlord to being part of the customer’s customer experience.
That is where margins improve.
Price in a Way That Does Not Create a Fight Later
Zimbabwe is a multi-currency environment. Your quote must therefore say exactly what currency applies.
If you quote in USD, state USD. If you quote in ZiG, state ZiG. State whether VAT is included or excluded. State whether customs duty, third-party charges, inspections, storage beyond the agreed period and transport are included or excluded. Give the quote a validity date and clear payment terms.
One all-in number looks attractive until the first invoice arrives.
Then the customer feels trapped.
A good commercial proposal breaks work into understandable parts. Receiving and storage. Picking and dispatch. Customs-processing fees. Transport, where applicable. Third-party charges and duties where applicable. Exception charges, if there are any.
Why be this clear?
Because a procurement manager can get internal approval for a properly stated cost. They cannot defend a surprise.
My judgement call is simple: if you cannot explain your price in one page, your salesperson will struggle to explain it in a boardroom. Simplify the commercial structure before you train the pitch.
Bonded Warehousing Needs Careful Words
Bonded warehousing can be a powerful sales angle. It can help an importer manage duty timing where goods are eligible and the facility is properly appointed.
But this is where careless sellers damage trust.
Do not say, Put your goods in our bonded warehouse and avoid duty.
That is lazy. It may also be wrong.
The proper position is that goods may be warehoused under bond without immediate payment of customs duties, subject to ZIMRA appointment and security requirements. The provider must actually have the required approval. The customer’s goods must qualify.
Say the truth early. Then verify the specific shipment before making a commitment.
If your operation holds Authorised Economic Operator status, discuss it carefully too. ZIMRA’s AEO materials, updated in August and September 2025, list potential benefits such as priority treatment, faster clearance and fewer checks, subject to qualification.
Potential is not guaranteed.
That one word can save you from a very expensive sales promise.
Train Your Sales Team to Ask Better Questions
Your people cannot sell hidden value if they only ask, How much space do you need?
Make them ask questions that expose the cost of the current mess:
1. What happens when stock arrives with a shortage or visible damage?
2. How do you know an order was picked correctly before it leaves?
3. Who gives your team customs updates, and how often?
4. Which missing document has delayed you before?
5. What does one missed delivery do to your customer relationship?
6. Who owns the problem when nobody can locate stock?
The answer gives you the proposal.
If a prospect has clean stock records, a disciplined warehouse team and low volumes, do not force a complicated premium service. Sell the service level they need. If they have constant variances, urgent deliveries and no reliable reporting, do not compete only on price. Show them the cost of staying disorganised.
That is how grown-up selling works.
Frequently Asked Questions
How do I sell warehouse services when competitors are cheaper?
Show the operational cost that the cheaper offer may not cover. Discuss stock accuracy, reporting, turnaround, damage handling and escalation. If you cannot prove a difference, the buyer will rightly compare square metres and price.
Can I promise a customs-clearance time in Zimbabwe?
No unconditional promise is wise. ASYCUDA World processing, document readiness, permits, duty prepayment, ZIMRA queries and physical examination can affect timing. Promise communication, preparation and ownership instead.
What must a Zimbabwe clearing agent have?
A clearing agent must be a ZIMRA-licensed company or partnership. ZIMRA states that the licence expires on 31 December in the year of issue, and renewal applications should be lodged electronically by 31 October on Form 64 through ASYCUDA.
How should I quote logistics services in Zimbabwe?
State the currency, whether VAT is included, the validity period, payment terms and every material exclusion. Separate duties and third-party charges where they are not included. This protects both your margin and the customer relationship.
Your warehouse may be full of stock. Your clearing desk may be full of documents.
But your buyer is buying neither.
They are buying certainty when their own customer is waiting.
