A procurement officer at a Harare hospital has just watched your ultrasound demonstration. The clinicians like the image quality. The finance team asks for a quote. Then somebody asks for your PRAZ category, tax clearance, warranty terms, installation plan and ZiG price.
The room goes quiet.
That is where many medical device sales die.
Medical device sales in Zimbabwe are not won by carrying the shiniest brochure or knowing the product catalogue by heart. You need clinical trust, procurement discipline and a commercial offer that works in both USD and ZiG.
That is why pharmaceutical sales training must go beyond charming doctors. You are selling into a system with clinicians, procurement people, finance officers, biomedical engineers and regulators. Each one can stop the sale.
A good machine is not enough.
Start With the Patient Problem, Not Your Product
Doctors do not wake up hoping to buy a new device. They wake up trying to diagnose a difficult case, reduce waiting time, avoid a referral, or keep a theatre running.
Your job is to understand the daily pain before you open the brochure.
Ask better questions:
โย ย ย ย ย ย ย Which procedure is being delayed?
โย ย ย ย ย ย ย How often does the current equipment fail?
โย ย ย ย ย ย ย Who operates it, and who maintains it?
โย ย ย ย ย ย ย What happens when a consumable runs out?
โย ย ย ย ย ย ย Does the hospital need installation, commissioning or user training?
The question everyone skips is this: who owns the problem after delivery?
A clinician may want the equipment. A biomedical engineer may worry about servicing. Finance may worry about foreign-currency exposure. Procurement may be waiting for a formal tender. If you only know one person, you do not have an account. You have a contact.
An illustrative Harare clinic sale
Take a private clinic in Harare that wants a diagnostic device because patients are being referred across town for tests. The doctor sees better patient care and extra revenue. The clinic manager sees a machine that could sit idle when the trained operator is away.
A weak salesperson gives a product demonstration and sends one USD quote. A stronger salesperson maps the patient journey, confirms the power requirements, identifies the operator, includes training and sets out how breakdowns will be handled. The stronger offer also states the payment options in USD and ZiG, with the conversion basis written clearly.
The device may be identical.
The risk is not.
If you cannot explain what happens after the delivery truck leaves, do not expect the buyer to trust your quote.
Separate MCAZ Compliance From the Tender
One of the biggest mistakes in this market is treating clinical approval, import paperwork and public-hospital procurement as one thing.
They are not one thing.
The Medicines Control Authority of Zimbabwe, MCAZ, regulates medicines and medical devices. A supplier should set up MCAZ Online Services and select Medical Devices Licensing. Before you quote, import or promise a delivery date, confirm the device-specific licensing, registration and import requirements with MCAZ. The applicable device class and document list must be confirmed with the regulator.
Do this early because a beautiful quotation cannot rescue a product that cannot be lawfully supplied.
Then there is the hospital buying process. A public hospital can want your equipment and still be unable to buy it from you outside the required procurement process.
Calm down.
This is not bureaucracy for its own sake. A hospital is buying equipment that may affect diagnosis, treatment and patient safety. The paperwork is part of the product.
What your device file should answer
Build a file for every device line before the opportunity appears. Include the technical specifications, brochure, operating requirements, warranty position, service plan, training scope and lead time.
Also keep clear records of the manufacturer relationship and the documents MCAZ requires for that class of device. Do not guess because another supplier imported something similar. Similar is not the same.
If your business is new to medical devices, do not chase ten product categories at once. Start with the lines you can support, demonstrate, install and service properly. Your reputation in a hospital travels faster than your sales pitch.
Public Hospitals Buy Through PRAZ, Not Vibes
For public hospitals and government clinics, register as a supplier on the Procurement Regulatory Authority of Zimbabwe electronic Government Procurement system. Monitor category GM002, Medical and Laboratory Equipment, Products, Spares, Consumables and Accessories.
Do not wait for someone to forward a tender notice on WhatsApp after the closing date has passed.
Hunt properly.
As of 15 October 2026, current electronic Government Procurement listings include hospital medical-equipment opportunities under GM002. That means the portal needs a place in your weekly sales routine, not a visit when cash is tight.
PRAZ bidder registration and renewal fees changed under Statutory Instrument 9 of 2026, effective 12 January 2026. The annual fees are US$50 for micro enterprises, US$60 for SMEs, US$75 for other domestic bidders and US$850 for international bidders. A domestic competitive goods bid carries a US$150 administration fee, while an international competitive goods bid carries a US$400 fee.
Budget for this before you see the tender. You do not want to find a strong opportunity on Monday and discover on Tuesday that the bid fee was not planned for.
A tender is a compliance test before it is a sales contest
A 2024 hospital-equipment tender required a company profile, certificate of incorporation, CR14, valid ZIMRA tax clearance, relevant PRAZ registration, NSSA compliance, bid security, non-conflict and non-debarment statements, technical compliance, a brochure, a site-visit certificate, a one-year guarantee and delivery within one week from stock. Those requirements were tender-specific, not universal.
Read that again.
One missing certificate can remove you before anyone gets excited about your equipment.
Never recycle an old bid pack and assume you are done. Read each tender line by line. Check technical instructions, financial forms, security requirements, delivery terms and the exact closing time. Get a second person to review the pack before submission.
The best product can lose to a complete bid.
An illustrative Bulawayo tender response
Take a Bulawayo supplier pursuing a public-hospital equipment tender under GM002. The team spends days preparing an impressive presentation for clinicians, but treats the tender documents as admin work for the last afternoon.
They discover that their ZIMRA clearance has expired, their PRAZ category does not match the tender, and they have not arranged the required security. The sales team has done the expensive work, but cannot submit a responsive bid.
A disciplined team would maintain a live compliance calendar, assign one owner for each document and begin the bid response as soon as the notice appears. If delivery from stock is required within one week, the team must also confirm stock before promising anything.
Do not sell a delivery date you cannot execute.
Your Tax Clearance Is Part of Your Sales Kit
Maintain a valid ZIMRA ITF263 tax-clearance certificate. It is required for tenders, and ZIMRA says supplier payments can attract 30% withholding tax without it. Compliant taxpayers receive the certificate automatically by email at no charge.
That is not an accountantโs small problem.
That is a money problem.
Put your ITF263 status on the same dashboard as leads, quotations and tenders. Your finance person should not be hearing about a tender only when the closing date is near. Sales and finance must work together because your customer will judge the whole business, not only the salesperson.
The same discipline applies to NSSA compliance where a tender asks for it. Do not assume yesterdayโs certificate will be accepted tomorrow.
Price in USD and ZiG Like You Want the Deal
Zimbabwean hospitals, clinics and corporates live with currency decisions every day. As of 15 October 2026, USD, other designated foreign currencies and ZiG remain legal tender until 31 December 2030. Government and corporates may transact in foreign or local currency.
The RBZ guidance also says goods and services should be equally and easily available in ZiG and USD.
So a quote that says, โUSD only,โ without a serious ZiG route may close doors.
Set out both prices clearly. State the conversion basis. State when the basis is measured. State how long the quotation remains valid. Explain whether installation, commissioning, consumables, training and warranty support are included.
Ambiguity is expensive.
A hospital finance office cannot take your product pitch to an approval committee if the payment terms look like a street negotiation.
The price is more than the machine
A device can look cheap at purchase and become expensive when the hospital cannot get consumables, spare parts or technical support. Sell the total operating reality.
Tell the buyer what is included during commissioning. Explain who trains users. Explain the warranty period. Explain what happens when the machine reports an error on a Friday afternoon.
If you have no realistic local support plan, do not pretend that a manufacturerโs brochure is a service department. The streets will expose you quickly.
For a smaller private practice, do not overload the proposal with equipment it will not use. A lower-specification device that is used daily, maintained properly and paid for cleanly can be a better sale than a large machine gathering dust.
Build a Hospital Account, Not a One-Off Transaction
The best medical device suppliers become useful before the purchase order arrives.
They help the clinical team understand the application. They give procurement the correct documents. They make finance comfortable with the price. They help biomedical staff plan installation. Then they show up after delivery.
That is how trust is built.
Keep a simple account plan for every serious hospital or clinic. List the decision makers, users, technical gatekeepers, procurement route, device needs, current equipment, next tender window and next action. Review it weekly.
This is where sales training helps. Your team must know how to ask clinical questions without pretending to be doctors, how to follow procurement rules without becoming passive, and how to keep a deal moving without harassing people.
Real selling is organised follow-up.
Frequently Asked Questions
Do I need MCAZ approval before selling medical devices in Zimbabwe?
You need to confirm the applicable medical-device licensing, registration and import requirements with MCAZ before quoting or importing. The requirements can depend on the device class and the documents involved.
How do I find government hospital equipment tenders?
Register as a supplier on PRAZ electronic Government Procurement and monitor GM002 for Medical and Laboratory Equipment, Products, Spares, Consumables and Accessories. Check it consistently because tender opportunities have closing dates, and late enthusiasm does not win bids.
What documents do Zimbabwean hospital tenders usually require?
Requirements differ by tender. A hospital-equipment tender has required items such as incorporation documents, CR14, ZIMRA tax clearance, relevant PRAZ registration, NSSA compliance, bid security, technical documents, a brochure and a warranty. Treat the tender document as the final instruction.
Should I quote hospitals in USD or ZiG?
Offer clear USD and ZiG pricing, then specify the conversion basis and payment terms. Both currencies can be used for transactions, and making ZiG payment difficult can cost you a serious opportunity.
If your team has product knowledge but keeps losing at the paperwork, the follow-up or the boardroom conversation, request a sales training or consulting proposal. How much hospital business are you leaving on the table because your sales process is not ready to win?
